Reassigning roles

It is sometimes necessary for a role in the system to be reassigned to a different user (for example, if the user assigned to the Project Deputy role is leaving their organisation).

Most roles can be reassigned by either the Chief Investigator (CI), Project Deputy or a Collaborator. To do this they must select the appropriate role from the drop-down list (My tasks > My personal tasks > (select project) > Update key associates).

When reassigning the role of CI - the project will not be transferred until the new user has accepted ownership of the IRAS project. It is important to remember that the current CI will also need to accept any amendments made to change the CI (if applicable). If the project has been submitted for review you will not be able to reassign the CI in the system until after the applications has been approved.

When reassigning the role of the Project Deputy - as soon as the role of Project Deputy has been reassigned, the current Project Deputy will lose access. The new Project Deputy will automatically take over access and management of the project. The exception to this is if the Project Deputy has a task to complete the REC booking, respond to a request for further information or has an amendment pending a regulator decision. In this case, you'll need to wait for these to be completed first, then you'll be able to change the Project Deputy role.

Adding or removing a Collaborator - you can add additional Collaborators to a project , at any time (My tasks > My personal tasks > (select project) > Add collaborator). Be aware that collaborators are not notified via email once they have been added to a project. Once added, however, they can sign in and perform tasks within an application. To remove a Collaborator from a project, select the dustbin icon that appears by their name under the project team section of the main project page.

Reassigning the Sponsor or Sponsor Delegate Organisation

Only the organisation currently acting as the Sponsor or Sponsor Delegate will be able to reassign the responsibility for managing the work in IRAS to another organisation.

They can do this by selecting the 'Edit Sponsor Roles' button from My organisation's projects > (select project). 'Edit sponsor roles' appears in the top right of the screen. To 'edit' roles, select the pen icon that is found beside each organisation.

For more information on managing the sponsor group in IRAS visit the Functionality of sponsors page.
